Job Summary
The Space Coordinator will work closely with the Space Manager and/or Director of Programs to assist with the planning and execution of events at Heyground Harlem (461 West 126th Street, 5th Floor, New York, NY, 10027)
This position is a part-time position, 15 hours per week with flexible hours
This position requires occasional evening and weekend hours
Roles & Responsibilities
Reporting to the Space Manager and Director of Programs, the Space Coordinator assists in the planning and implementation of events ranging from small-scale gatherings to large-scale, impactful events, with particular attention to community engagement events
Assist with aspects of event logistics, including but not limited to - registration, catering, room management, RSVP tracking, survey data, project tracking through EXCEL or other platforms
Maintain inventory of all event supplies, equipment, materials, and branded items
Establishes relationships with event partners to facilitate efficient and successful event execution
Provides informational resources to planning partners and clients
Tracks event details in shared event planning tools, ensuring timely and accurate data entry of related activities
Create social media content that is visually appealing and engaging
Provide administrative support to the Space Manager and team on a variety of new and existing projects and challenges that come up including event scheduling, catering, marketing, and member relations
Monitor cancellations, room usage, and room availability to maximize revenues and client/guest satisfaction
Ensure appropriate updated calendar and information is available for all meeting and event requests
Contribute to reports on event volume, team capacity, and general event data
Conduct walkthroughs of Heyground Harlem space to ensure rooms and space reflect clean and correct conditions
Assist with daily tasks and space needs on a regular basis (Tracking inventory, running errands, and keeping the space clean)
Capture and report to Space Manager any newsletter content to promote HGH programming and source opportunities, deals, and other HGH-relevant news
Assists the Director of Programs and Community manager with special projects
Additional duties as assigned
Required Skills and Qualifications
Strong organizational skills.
Strong communication skills, including written and verbal.
Excellent people skills with empathy: works well with a range of different individuals.
Self-starter and an ability to complete necessary responsibilities on your own
Excellent interpersonal, verbal, and written communication skills
Strong computer skills, including Microsoft Office (Word, Excel, PowerPoint, Outlook)
Preferred Skills
Experience with art and wellness programming
Knowledge and experience with Zoom meetings and webinars, Vimeo, and YouTube are a plus
